Organizers/Organisers of meets/meetings on the Roster platform can enable the ability for participant self-check-in using the Roster Athletics mobile app. This guide describes how to create an athlete profile and check in.


Please note: this guide applies to the Roster Athletics app 3.0.0 version and newer. If you have an older version of the app, you will need to update it first.

How to create an athlete profile for check-in?


To confirm your participation via check-in, you first need a Roster Athletics account created either in the Roster Athletics mobile app or the meets.rosterathletics.com registration platform. Depending on whether you already have an account or not, proceed to the appropriate step.



I don't have a Roster account


If you don't have a Roster account, create one by going to the https://meets.rosterathletics.com/public/signup page and provide the required information. Please see the Participants: Creating and managing your account user guide to find more details.


After verifying and accepting the Platform Terms and Conditions terms, you can log in and go to the next step to create an athlete profile.



I have an account but not an athlete profile


If you already have a Roster account, go to the web registration portal at https://meets.rosterathletics.com/ and log in to your account. Once logged in, go to the AccountAthletes & relays and create a new athlete profile by clicking the Add athlete/relay button and selecting the Add athlete option. 



If you are creating the athlete profile for yourself, you can pre-fill the details with the information provided when you created your account. To do so, click the Myself button. In the next step, you must add the First name, Last name, Date of birth and select the applicable Gender, Country, and Club/school (all these fields are mandatory).


Similarly, you can create an athlete profile for another athlete you are managing.

Please note: if your entry has already been added by another account (coach, school, federation, etc.), the athlete profile you've just created will be verified with the existing athlete on the start list. The verifying process is handled by Roster Athletics and may take up to 48 hours.



I have an account and an athlete profile


If you already have an account with an athlete profile, you can open and log in to the Roster Athletics app. Remember to use the same account you used on meets. The app is available on the iOS App Store for Apple iPhone and iPad devices and Google Play for Android devices . Please see the Roster Athletics Consumer App User Guide for more information about the app.




How to check in on the Roster Athletics app?


After logging in to your account on the main Meets/Meetings screen, you will see the app settings menu on the upper left-hand side (burger three lines icon). Press it and select the Athlete check-in option, where you will find a list of athletes' profiles linked to your account.


To check in on the app, go to the ATHLETE CHECK-IN menu settings option and open an athlete profile by clicking the name. You will see a list of upcoming meets/meetings with this athlete on the start list with the enabled check-in feature (meet/meeting status has to be open).  


Open the meet/meeting to see all events with your athlete on the start list and information about the check-in deadline and status.



If the check-in is open, you can click the event name and select:

  • Check in - select if you want to confirm participation. If additional verification is enabled, you can check in by:
    • Entering check-in code
    • Scanning check-in QR code
  • Scratch - select if you will not compete in the event.


The organizer/organiser will need to provide the numerical and/or QR code for the specific meet/meeting of interest if they have chosen required verification code for check in.


Please note: A scratch in the first child event of a combined event also causes a scratch in the parent event. A scratch in other child events will change the parent's status to DNF.


You can edit your check-in status until the check-in deadline.


You can also check in the same athlete for multiple events or check in multiple athletes for the same meet/meeting without scanning the code each time. To do so, open your device's camera and scan the QR code. The system will not ask you to scan the code again if you stay in the meet/meeting view.


Please note: If you do not see the meet/meeting in which you want to confirm your participation, there are two explanations:

  • The check-in option has not been enabled by the organizer/organiser yet.
  • Your athlete profile has not yet been verified with the profile created by the organizer/organiser or another user who registered you for the meet/meeting. The verifying process is handled by Roster Athletics and may take up to 48 hours.
